Getting Started
What is PickleHost?
PickleHost is an automated management tool for recurring pickleball groups. It handles sending invitations, tracking RSVPs, and automatically filling spots from your alternates list when players drop out—so you can spend less time organizing and more time playing.
How do I create a recurring game?
After signing in, click "Create a recurring game" and fill in your game details: name, day of the week, start time, location, and how many players you need. You can also set up tiers of alternates who will be invited automatically when spots open up.
Do my players need to download an app?
No! Players receive invitations and can RSVP via SMS text message. They simply reply "IN" or "OUT" to confirm their attendance. Players can optionally sign in to the web app for more features, but it's not required.
How do I invite players to my game?
Once you've created your recurring game, you can invite players by sharing an invite link or adding them directly with their phone number. Players will receive a text message inviting them to join your group.
How RSVPs Work
How do players RSVP?
Before each session, PickleHost automatically texts your players asking if they're in or out. Players simply reply "IN" or "OUT" to the text message. You can see everyone's status in real-time on your dashboard.
What happens if someone drops out?
When a player responds "OUT" or drops from a session, PickleHost automatically invites the next person on your alternates list. This happens instantly, so you don't have to scramble to find a replacement.
What are Main players vs Alternates?
Main players are your core group who are assumed to be playing each week unless they respond OUT. Alternates are backup players who get invited when a main player drops out. You can set up two tiers of alternates—Tier 1 alternates get invited first, then Tier 2 if more spots open.
When are invitations sent?
You control the timing. By default, main players receive their confirmation request a few days before the session. Alternates are invited as soon as spots open up. You can customize these timing settings for each game.
Managing Your Game
Can I change the day or time of my recurring game?
Yes! You can edit your recurring game settings at any time. Changes will apply to future sessions. If you need to cancel or reschedule a specific session, you can do that too without affecting the rest of your schedule.
How do I move an existing group to PickleHost?
We make it easy to migrate your existing group. Create your recurring game with your usual day and time, then invite your players. They'll receive a text to join your PickleHost group, and from then on, PickleHost handles the weekly coordination.
Can I have multiple recurring games?
Yes! You can create and manage as many recurring games as you need. Each game has its own player roster, schedule, and settings.
What if I need to cancel a session?
You can cancel individual sessions from your dashboard. All confirmed players will be notified automatically via text message.
For Players
How do I join a game I was invited to?
When the organizer invites you, you'll receive a text message with a link. Click the link to join the group—no app download required. You'll then receive text messages before each session asking if you're in or out.
How do I change my RSVP?
You can change your RSVP at any time by replying to the PickleHost text thread. Just send "IN" or "OUT" and we'll update your status. If you change from IN to OUT, we'll automatically invite an alternate to take your spot.
Can I see who else is playing?
Yes! You can view the session details and see who's confirmed by clicking the link in your text message or signing in to the PickleHost web app.
